It's not even Gmail, it's the way you use it. I struggled (and still don't always succeed) with many of the same issues as you until I discovered the Stack Method https://www.stackmethod.com. I can't recommend this enough. I have implemented this using eM Client, but you can do it in almost any email client, including web-based Gmail.
